Impact / Effort Matrix
To assess whether a certain change is realistic for your company, it is recommended to classify all ideas in an 'Impact & Effort Matrix'. A simple, commonly used method to estimate the priority and/or complexity of new projects. A few examples:
Effort | Impact | |
---|---|---|
Activating Multi-Factor Authentication | Low | High |
Activating Office 365 backup | Low | High |
Creation of a Microsoft SharePoint business portal | High | High |
Implementation of new CRM and/or ERP environment | High | High |
Digitize invoices older than 10 years | High | Low |
Few companies have a plan
Unfortunately, there are many companies where it stops after achieving a few quick wins. Digital transformation, however, is never finished. The absence of a plan inevitably leads to lost effort. Once you have inventoried which processes you want to digitise and which solutions are suitable for this, it is best to make an implementation plan. This plan not only includes the technical realisation such as setting up a Cloud environment. It also includes a strategy with regard to training and coaching of your employees, continuous monitoring of usage and quick adjustments where necessary. And all this with clear, transparent communication towards the staff.
An implementation plan must of course be tailor-made. The main reason why a project can fail or be stopped is precisely the lack of a clear step-by-step plan. But sometimes plans are also too ambitious. If its implementation mortgages operational activities, it soon ends up in the bottom drawer. That is why it is important to work in manageable, smaller steps, which do not negatively affect the operational operation. Every project requires the necessary time and energy, but what often remains under the radar is whether the knowledge of users and the final use is sufficient after a few months. Repeated evaluation and continuous training of key-users are vital to keep everyone motivated to make optimal use of the new working method(s).
