Many companies struggle with unstructured orders via e-mail, Excel lists or loose documents. Especially in the chemical sector, where materials are regularly ordered for testing and research, this can lead to errors, duplication or wasted time. InOpSys wanted a better alternative: a digital ordering solution that works intuitively and is effortlessly integrated into their Microsoft 365 environment.

Our solution? The SharePoint ordering app: a canvas PowerApp which runs on SharePoint, fully tailored to their needs.

Key functionalities of the SharePoint ordering app

1. Central ordering platform

All orders go through one digital platform. That means: no more separate e-mails, but one overview of all requests, approvals and deliveries.

2. Intuitive interface

The homepage has been kept simple: users can choose to place a new order or consult existing orders. Threshold-free, even for less digital profiles.

3. Product details & categorisation

Users easily add product descriptions, select categories and can register price agreements. Thanks to dropdowns and validation, everything is entered correctly.

4. Supplier management

The system allows you to select existing suppliers or add new ones, with automatic display of relevant contact details.

5. Order rules, discounts and VAT

Each order can contain multiple lines. Users can add discounts, calculate VAT and flawlessly order multiple items in one flow.

6. Automatic PDF generation

A professional PDF order form is automatically generated after each order. This can be shared with internal colleagues or external suppliers.

Smart technology under the bonnet

Built as a canvas PowerApp, the app integrates with:

  • SharePoint lists, in which all order data are stored centrally.
  • Power Automate, which provides automatic approval flows and notifications for new orders.
  • Microsoft Teams, where notifications of approvals also go if desired.

Everything happens within the secure ecosystem of Microsoft 365, without additional logins or separate tools.

Why did InOpSys choose this approach?

InOpSys, specialising in the reuse of process streams in chemistry, has a regular requirement for test materials and chemical products. Their ordering process needed to be fast, clear and traceable. Thanks to this application:

  • They avoid duplicate orders.
  • Is there always an overview of orders per project.
  • Are approvals followed up faster.
  • Has significantly eased administration.
